Reducing no-shows without nagging patients

A patient who wants to cancel and cannot get through becomes a no-show, and that is a phone problem being counted as a behaviour problem.

Why do patients miss appointments?

Mostly forgetting, and being unable to cancel conveniently. A meaningful share of no-shows are people who tried to cancel, could not get through, and gave up.

That second group is worth separating out, because reminders do nothing for them. They already knew about the appointment.

How many reminders should a practice send?

One a few days ahead and one the day before is the usual sweet spot. More than that annoys people without improving attendance much.

The content matters more than the count. A reminder that makes cancelling one tap easier reduces no-shows more than a third message asking them to confirm.

Should cancelling be made easy if it means more cancellations?

Yes. A cancellation with notice is a slot you can refill; a no-show is a slot lost entirely. Making cancellation harder converts recoverable gaps into wasted ones.
